The complexity of international business aviation missions is growing faster than the time available to plan them.
Regulatory requirements continue to expand and evolve, airspace and security conditions can shift overnight, and congestion at popular business aviation airports is straining capacity. Meanwhile, passenger demands for flexibility and last-minute schedule changes put additional pressure on the schedulers, dispatchers and crews coordinating these missions.
International trip support remains a relationship business built on experience and trust. Planning is only part of the job. When circumstances change at 3 a.m., flight departments need people who know the destination, have handled similar challenges before and can call on local relationships and resources to respond. A contingency plan is only as effective as the people and global network available to put it into action.
That depth of experience and global reach are central to World Fuel | Universal Trip Support. The united organization carries forward Universal Weather and Aviation's established trip support expertise alongside World Fuel's own specialists and global aviation fuel network, building on the relationships and operational strengths of both.
For Malcolm Hawkins, senior vice president of global business aviation at World Fuel, the united organization represents an opportunity to build on that foundation and invest in what operators will need next.
“I've never been more optimistic about where trip support is headed,” Hawkins said. “Now we're bringing the best of both together. The next generation of trip support has to stay ahead of complexity, not just react to it, and that's where we're investing: in specialists, relationships and technology. The goal is simple: be the one united team operators want on their side when a mission gets complicated.”

Knowing before you go

The value of that experience often becomes apparent well before departure, when a flight department needs to determine not just whether a trip is possible, but how much flexibility the operation can realistically accommodate.
Consider a weeklong passenger visit to the French Riviera during peak season. The aircraft can make the flight, and Nice may accept the arrival. Keeping the aircraft parked there for the week is another question. Limited availability may require repositioning elsewhere, arranging crew accommodations and coordinating a return around airport restrictions.
Then the passenger decides to leave a day early. Strong mistral winds and European air traffic control restrictions further complicate the schedule. Suddenly, the repositioning plan, crew arrangements, fuel and airport access all need another look.
A specialist familiar with the destination can flag those constraints before the trip is booked, lay out alternatives and explain how much flexibility the operator realistically has. The flight department can set passenger expectations early rather than discover the limits after committing to the itinerary.
The same holds beyond southern France. An operator may be visiting a country for the first time, but the team supporting the trip may have handled similar operations there earlier in the week. They know local procedures, service providers and where the process tends to break down.
World Fuel | Universal Trip Support specialists draw on combined experience from hundreds of thousands of trips and longstanding relationships with aviation authorities, airport operators, handlers and suppliers.
That experience, supported by a global network of operational specialists and local service providers, helps teams turn contingency plans into practical alternatives. Whether an itinerary requires revised permits, an alternate airport or last-minute changes to ground services, the focus is on coordinating a workable response rather than simply identifying the problem.

Investing in the next generation of mission management

Craig Mabray helped develop several of Universal's feasibility and trip-planning tools. He now leads a dedicated World Fuel | Universal Trip Support technology team building the next generation of mission management capabilities, informed by customer feedback and operational experience.
Priorities include customer-platform improvements, expanded feasibility and permit capabilities, more flexible flight-planning options and integrations connecting customer systems with trip support.
“The next generation of mission management technology needs to do more than make planning faster,” Mabray said. “We're developing tools that help operators recognize potential problems earlier, understand what's feasible and make better decisions throughout a mission. Technology should make complex operations easier to manage while giving our specialists more time for the situations that require experience and judgment.”

Looking ahead

As international operations grow more demanding, World Fuel | Universal Trip Support is investing in what matters before departure and when plans change: experienced people, reliable information and the resources to turn a plan into action.
